Terms & Conditions

In these Terms and Conditions:

• "Jay Pixels" / "we" / "us" refers to the photography and videography service operating as Jay Pixels in the United Kingdom.
• "Client" / "you" refers to the individual or organisation booking our services.
• "Services" refers to photography, videography, editing, and any related deliverables provided by Jay Pixels.
• "Session" refers to any agreed shoot, event coverage, or recording assignment.

A booking is confirmed only upon receipt of a signed booking agreement (where applicable) and a non-refundable retainer fee. We reserve the right to decline any booking at our discretion.

The retainer fee secures your date and is deducted from the final invoice. No date is held without payment of the retainer. The remaining balance is due no later than 14 days before the session date, unless otherwise agreed in writing.

For bookings made within 14 days of the session, the full fee is payable at the time of booking.

All prices are quoted in Great British Pounds (GBP) and are inclusive of VAT where applicable. Prices are confirmed in writing at the time of booking and are valid for 30 days from the date of quotation.

Travel expenses beyond a 20-mile radius from the photographer's base may be charged at the current HMRC approved mileage rate, or at cost for public transport. Any additional expenses (parking, accommodation for multi-day events) will be agreed in advance.

Payment is accepted by bank transfer. Late payments may incur interest at 8% above the Bank of England base rate under the Late Payment of Commercial Debts Act 1998.

By the Client:

• Cancellation more than 60 days before the session: retainer fee forfeited, no further charge.
• Cancellation 30–60 days before: 50% of the total fee is payable.
• Cancellation less than 30 days before: 100% of the total fee is payable.

Rescheduling is permitted subject to availability. One rescheduled date is permitted without penalty if notified at least 30 days in advance. Further rescheduling may incur an administration fee.

By Jay Pixels:

In the unlikely event that we must cancel due to illness, emergency, or circumstances beyond our control, we will endeavour to provide a suitable replacement photographer or offer a full refund of all fees paid. We shall not be liable for any further compensation beyond the fees paid.

We require reasonable access to the venue and cooperation from the client and their guests to deliver the agreed services. We reserve the right to leave a location if the environment becomes hostile, unsafe, or prevents us from working professionally.

Session durations are as agreed at booking. Overtime beyond the agreed hours may be charged at an hourly rate communicated in advance.

Jay Pixels will use professional judgement in selecting shots, angles, and compositions. We cannot guarantee specific photographs or re-shoots of missed moments (e.g. guests who leave early, weather conditions).

Edited photographs and/or video files will be delivered digitally within the timeframe agreed at booking — typically 4–6 weeks for weddings and 1–2 weeks for other sessions. Delivery timelines may vary during peak periods and will be communicated clearly.

All deliverables are provided in digital format via an online gallery or file transfer link. Physical prints or albums are available at additional cost and quoted separately.

Final deliverables are released only upon receipt of full payment.

All photographs and video footage created by Jay Pixels remain the intellectual property of Jay Pixels. Copyright is retained by the photographer at all times.

Upon receipt of full payment, the client is granted a non-exclusive, non-transferable personal licence to use, print, and share the delivered images for personal, non-commercial purposes. This includes sharing on personal social media accounts, provided credit is given to Jay Pixels.

Commercial use of any images or footage requires a separate written licence agreement and additional fee, negotiated prior to use.

The client must not crop, filter, or otherwise alter delivered images in a way that misrepresents the work or removes watermarks/metadata without prior written consent.

Jay Pixels reserves the right to use any images or footage taken during a session for portfolio, website, social media, and promotional purposes, unless the client requests otherwise in writing before the session.

For sessions involving minors, written consent from a parent or legal guardian is required before any images of children are used in our portfolio or published publicly.

Jay Pixels carries professional indemnity and public liability insurance. However, our liability in any claim is limited to the total fees paid for the session in question. We shall not be liable for any indirect, consequential, or special losses.

We are not liable for failure to perform due to circumstances beyond our reasonable control, including but not limited to extreme weather, illness, equipment failure, venue restrictions, acts of God, or civil disturbance (force majeure). In such cases, we will make every reasonable effort to remedy the situation.

The client is responsible for any damage caused to equipment by guests or third parties.

We are committed to delivering work of the highest quality. If you are dissatisfied with any aspect of our service, please contact us within 14 days of receiving your deliverables at itsjaypixels@gmail.com. We will acknowledge all complaints within 5 working days and aim to resolve them fairly and promptly.

We handle your personal data in accordance with our Privacy Policy and UK GDPR. By booking our services, you acknowledge that we will process the personal data necessary to fulfil your booking.

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Jay Pixels reserves the right to update these Terms and Conditions at any time. The version in force at the time of your booking confirmation applies to your contract with us. The "Last updated" date at the top of this page reflects the most recent revision.
